Before you start

The needs statement

The needs statement is the section most organizations write the same way for every funder: national statistics, local statistics, one or two community-voice quotes, a paragraph on why the need persists. The failure pattern is copy-paste: the organization lifts last year's needs statement, updates the poverty rate, and calls it done. The constraint that matters most: "Do not generate or estimate any statistics that are not explicitly in this prompt." That sentence prevents fabrication. AI will produce plausible-sounding regional statistics if you do not block it. Every number in the output should trace back to something you pasted in. The review check for this section: read every statistic in the draft and verify you can find it in the source material you provided.

For a rural community organization where local statistics are harder to source, the adjacent prompt: "If local data is not available for [specific metric], acknowledge the data limitation in the needs statement and describe the community need through participant experience instead, using only the anonymized participant voice examples I provide below."

The program narrative

The program narrative is where voice matters most and where AI-assisted drafts most often go wrong. Program officers can tell when the narrative was written by someone who knows the program and when it was assembled from generic language about evidence-based models and trauma-informed approaches. The voice check at the end: read the draft out loud. If a sentence could have been written about any organization, rewrite it to be about yours. AI gets you to 75% of the way there. The budget justification narrative

The budget justification narrative is the section organizations spend the least time on and that funders weigh more heavily than most development directors realize. A vague justification reads as organizational weakness. A specific, internally consistent justification signals operational credibility. The failure pattern: the budget justification is written as a translation of the line items into prose, one sentence per budget line, with no connective logic. "Personnel costs include a 0.5 FTE Program Coordinator at $45,000 annually." The funder already has the spreadsheet.

What to ask AI for instead:

Write the budget justification narrative for a grant application. The section should explain why each cost is necessary, how it connects to program delivery, and why the allocation reflects the actual work. Budget line items: [paste your budget lines with the amounts: personnel by role and FTE, fringe rate, consultant fees, supplies, indirect]. For each personnel line, the role and what that person actually does in the program: [describe in one sentence per role]. Our indirect rate: [state it and, if you have a negotiated rate agreement, note that]. Funder's instructions for this section: [paste from RFP]. Do not generate any figures that differ from the line items I provided. Voice: [paste your voice description or a prior budget narrative excerpt]. Length: [per funder guidelines or 200-400 words].

The connective logic AI adds, explaining why a 0.5 FTE coordinator is necessary at that specific program volume, why the indirect rate is applied to direct costs only, why the consultant fee reflects market rate for that expertise, is the reasoning that makes the justification persuasive rather than mechanical. The funder-specific tailoring

Funders have vocabularies. Some funders use equity language explicitly and expect applicants to use it. Some funders focus on systems change and score down programs that describe service delivery without describing the structural shift the program contributes to. Some funders want a specific logic model format. Some funders in faith-based philanthropy use language that would be off-key in a government grant. The voice-preservation constraint

Every organization that has been funded has a narrative voice.
