"Tone: direct and brief, under 100 words, no sales language" is a constraint that produces usable customer service output. "Professional tone" is not.
A fill-in section at the bottom. Every prompt template should end with a fill-in-the-blank section for the instance-specific details. This structure separates what stays constant (the role, the company, the constraint) from what changes per task (the specific client, the specific subject, the specific deadline). Employees who see this structure stop treating prompt-writing as creative writing and start treating it as form-filling. Adoption accelerates.
One explicit example of good output. For team members building their first prompts, add one example of the output quality you are aiming for. The regulated systems handle the data.

Most of the time your team spends on repetitive tasks is spent on structure and language, not on the underlying data. Build the language in AI. Fill in the data outside it.

Build review steps into the workflow before anything AI-generated leaves the building.
- Employee performance conversations or HR communications about specific individuals. The legal and interpersonal stakes here are too high to route through a general-purpose AI tool, and the data involved should not be in the tool in the first place.
- Any task where the speed of production will cause you to skip the judgment that makes the output good. AI makes fast output easy. Fast output that skips the thinking your audience needs is worse than slow output that includes it.
A simple rule: AI is an unfair advantage on the 70% of small-business tasks where structure, language, and format are the hard parts. Trust your own judgment for the 30% where the decision, the relationship, or the liability has real weight.
